You can add flight details to your itinerary so both you and your participants can stay informed about all aspects of their trip.
Adding flight information
When adding the information via items, you have the option to select flights:
On the edit panel, you can enter all the usual information, such as title and description, and search for the specific flight you want to add.
Once you have added the information, you can confirm whether this is the flight you are looking for and add it to your itinerary.
Editing a flight
If an airline updates a flight, the updated information will automatically appear on the itinerary. This means that any delays or early arrivals will be reflected accordingly.
Note: Live status tracking will begin 72 hours before the flight's departure.
If you need to change the flight to a different one, you can do that by clicking on the item to open the edit panel and selecting a new search:
Once you have filled out the new flight information, you can select to replace the old flight.
Multiple flights
If the flight has multiple legs, you can select the legs relevant to your trip. For connecting flights with different flight numbers, you’ll need to add them as separate flight items.
Flight notifications
We offer a convenient way to track your participants' flights. You and your team members can subscribe to flight notifications to receive updates.
You can also subscribe your participants to receive alerts — helping travelers stay informed and reassured during their journey. Just make sure to add your participants under the Itinerary Settings first.
If there are any changes to the flight, significant delays, diversions, or cancellations, you, as the itinerary owner, will receive an email notification.
Email notifications are sent to the itinerary owner — specifically, the organizer or team member assigned to the itinerary, and the participants selected.
These notifications include major flight disruptions such as delays, cancellations, and diversions.
Delays are shown only when the arrival time delay increases or decreases by 15+ minutes.
Notifications are triggered within 72 hours before departure.
If a flight has significant schedule changes (30+min) or no longer exists, before that time, we will also email a notification to the itinerary owner.
Note: Team members without Itinerary permission can unsubscribe from flight email notifications directly within the email.
Participant View
On the itinerary builder from the participant, they will see the flight information displayed:
Within 72 hours of the flight departure, we will show the following information:
✅ On Time
🕒 Delayed
❌ Cancelled
🔁 Diverted
✈️ Arrived
