You and your customers can easily download a detailed buyer receipt anytime from your WeTravel accounts. The PDF includes everything needed for insurance purposes, financial documentation, or dispute resolution. It’s generated directly from the booking data, so it always reflects the most current information. Both you and your customer will see the exact same version.
How to download a buyer receipt (for organizers):
To download the receipt, go to "My Trips" and click on "Manage Trip". In the "Manage Trip" view, select "View Booking Details" next to the participant's name:
Then scroll through the available options and click on “Download Receipt".
The PDF will be titled using the trip name and the buyer’s name (e.g., Italy Retreat – Jamie Lee), making it easy to identify and organize.
Tip: You can download the PDF as many times as needed — it will always reflect the latest state of the booking.
What does the buyer receipt look like?
The receipt includes organizer details (name, logo, and available contact info), trip name and date, booking date, and a unique reference code. It provides a full booking summary — including all packages, add-ons, cancellations, and grouped pricing per participant — along with totals for booked, canceled, and current amounts. A detailed payment summary is also included, listing payment dates, methods (e.g. card, bank transfer), and any refunds or current disputes.

Note: All amounts on the receipt are displayed in the trip’s original currency. Transaction fees are excluded from the totals. If there is too much information for one page, the receipt will continue to the next page.
How can my customers download their receipts?
Your customers can download their receipts directly from their Manage Booking page. Once there, they will see a “Download Receipt” button. Clicking it will instantly open a PDF in a new tab, ready to view, save, or print.

Is this feature available to both Basic and Pro plan users?
Yes, the buyer receipt feature is available to everyone!
Is this feature available to team members?
Yes, the team members who have access to the trips will be able to download receipts.
Does the receipt show cancelled items, pending payments or refunds?
Yes, cancellations are listed in the receipt, including participant status if applicable.
Pending payments, disputes and refunds are clearly labeled in the Transaction summary section on the receipt. Refunds and disputes show as negative amounts.
Does the receipt show discounts, custom pricing, or balance adjustments?
The receipt only displays what has been booked and the actual payments made, including any refunds or disputes. It does not show balance adjustments, discounts, seasonal pricing, or custom rates. This guarantees a clear, accurate summary that aligns with what insurance providers typically require.
Will the PDF include my full contact details?
Only what you have added to your organizer profile. We recommend keeping this up to date HERE.
Can I customize the PDF?
Not at the moment. The format and content are standardized to ensure consistency for insurance and financial use.
Can I access a previous version of the receipt or see when it was downloaded?
No — we do not store past versions or track download history. Each time you or the customer downloads the receipt, it reflects the current state of the booking at that moment.
Can I send the receipt to my customer on my trip dashboard?
Yes, you can download the PDF document and send it to your customers through the messaging feature on WeTravel if your plan is upgraded to Pro. Alternatively, you can send the buyer's receipt to your customers via email or other channels.
Do I need to enable this feature?
No, it’s automatically available for all trips — no setup required.
