Traveler Table

Simplify your booking management, customize downloadable reports, and collaborate with ease using the Traveler Table feature.

  • Would you like to share your traveler's dietary information with a tour leader or chef?

  • Alternatively, do you need to send a list of your clients and the rooms they have been placed in to the hotel?

  • Also, would you like to quickly check whether all travelers have filled in their personal information?

If you answered yes to any of these questions, then the traveler table feature is the perfect solution for you!

You can access the traveler table by clicking “Travelers” in your Manage Trip dashboard.

The traveler table covers

1. First name (clicking the name opens the Manage Trip view with pre-searched booking in a new tab)

2. Last name

3. Buyer

4. Email (traveler's email added to the traveler's survey)

5. Start date

6. End date

7. Package booked

8. Add-on booked*

9. Custom items (custom add-ons) booked*
10. Resource name*

11. Resource configuration*

12. Booking note (internal note added to the booking by the organizer)
13. eSignature
14. Checkout Info (status of all questions and tasks that have to be completed at checkout)
15. Traveler tasks (status of task completion)

16. Traveler survey questions (all questions in the traveler survey for this trip, as ordered by the organizer)
17. Traveler task questions (all questions in the traveler tasks, as ordered by the organizer)

We will list travelers alphabetically in this table by the buyer’s name. If a buyer has multiple travelers, we’ll list them alphabetically by each traveler's first name. Additionally, you have the option to sort the table columns by either ascending or descending order.

Tip: You can view the total number of each booked add-on instantly without exporting or manually counting. A totals row sits right below the column headers, displaying the aggregate quantity for each add-on across all pages and dynamically updating based on your applied filters.

*Personal add-ons will appear in the row of the person who booked them, while trip add-ons will be shown in the row of the first traveler (most of the time, that will be the same name as the buyer). The same process applies to custom add-ons, which appear as custom items in the traveler table.

*Resource name and configuration columns will only appear if the trip has connected resources or there are bookings with resources connected. More info here.

🚨 Please note that cancelled travelers are not included in this table. You can still manage bookings and refunds in the Bookings tab.

You can filter bookings based on the following criteria:

  • Start date - trip departure date (shown only for recurring trips).

  • Package - the list of all packages currently connected to the trip, as well as those from existing bookings, even if changes were made or if they differ from the current ones.

  • Resource name - the list of all resources currently connected to the trip, as well as those from existing bookings, even if changes were made or if they differ from the current ones (only shown for the trips with connected resources or bookings that have resources connected)

  • Resource configuration - the list of all resource configurations currently connected to the trip, as well as those from existing bookings, even if changes were made or if they differ from the current ones (only shown for the trips with connected resources or bookings that have resources connected).

Don’t worry if you select multiple filters at the same time - they won’t cancel each other out.

You can then edit the columns and select which ones to show in your table view by clicking on “Edit Columns”:

By default, the system will preselect the customer's first and last name columns (you cannot unselect them). You can rearrange the columns by dragging and dropping them in the order you prefer. If needed, you can select all or deselect boxes to exclude the information from the table. After making your edits, click Apply to save your preferences.

Note: Add-ons will appear in the Traveler Table and under Edit Columns only after being booked by at least one traveler.

Tip: If you use Rooming Lists, you can add them to your view using the Edit Columns table. This lets you see all relevant information directly in the Traveler Table without switching tabs, and it's included when exporting it.

After setting your desired filters and editing the columns, you can download a custom report by clicking the "Export" button.

You have the option to export either selected columns or all columns from the traveler table. Once you select your preferred option, the download will begin automatically.

You can now easily share these customized reports with your suppliers and team members!
