How can I schedule messages to my participants on WeTravel?

Learn how to schedule emails to your clients with a few easy clicks.

Do you have any emails that you wish to send at a later point instead of now? If yes, then our message scheduling feature will help you to manage your communication even more effectively; including the ability to deliver the message at the most suitable time for you and your clients as well as edit your pre-scheduled message later if something changes.

To start, go to your "Manage Trip" dashboard by clicking on "My Trips" and then on "Manage Trip".


Navigate to the "Messages" section and click on "New Message".


If the trip is recurrent, you can select if you want to message all participants or only those on specific dates.

* For recurring trips you can only schedule messages when you select "future departure dates"

You can now customize the subject line, sender name, message, and reply address in the dialogue box. Next, select the recipients from the drop-down menu:


You can also attach a file or multiple files to your message if needed. Please note that the file attachment feature is a Pro feature.

Scroll down and select “Schedule” if you wish to send your message at a later point:


Choose when you want to schedule your message by selecting the options from the filter boxes and we will automatically show you when it will be sent to your clients. Please note that scheduled messages will be sent between 19:00-20:30 UTC. If your trip is recurring, your message will be scheduled accordingly but we will not show any pop-up information because of the multiple departure dates.

Click on “Schedule” and that’s it - you have successfully scheduled your message! If you need to change or update it at any time in the future, you will find all of your scheduled messages under the Scheduled section:
